We’re seeking an Accounts Receivable Administrator to execute invoicing and account reconciliation, and complete assigned operations tasks at our advertising agency.

This position is a good fit for a detail- and process-oriented person with training or experience with job estimates, billing schedules, and pre-payment reconciliation. Our selected candidate will work with the account services team and bookkeeper to invoice clients for all approved estimates based on the specific schedule and requirements set by the client and agency management. They will also reconcile client pre-payments as services and expenses are applied to such jobs.

Additionally, the selected candidate will operate the agency’s reception area and complete specifically assigned operations tasks by working with our Chief Operating Officer.

Our team works from our downtown Indianapolis office Monday-Thursday and enjoys working from anywhere (your long-weekend destination, favorite coffee shop, the sunny spot on your back porch, etc.) Fridays, when possible.

 Required for this position:

  • Excellent communication skills with internal team members, guests, and clients, as needed

 Accounts Receivable Responsibilities

  • Day-to-day management of client billing and reconciliation based on budgets and purchase orders established by the account services team
  • Monitor aging receivables and communicate with the account services team and clients as needed
  • Reconcile pre-payment balances
  • Ensure receipt of client purchase orders
  • Work with bookkeeper to create invoices and send to clients
  • Manage client billing schedule documentation

 Operations Responsibilities

  • Manage reception area
  • Review and respond to general inquiry email messages and voicemails
  • Track certain company assets such as computers, monitors, phones, software, copiers, televisions
  • Manage updates to the WR employee handbook, operations manuals, and intranet
  • Manage day-to-day building maintenance and elevator
  • Day-to-day management of company vendors: Gordon Flesch (copiers), Verizon and Vonage (phones), AT&T (internet), Pitney Bowes (postage), RightNetworks and QuickBooks (time entry and financial)
  • Order office supplies
  • Redact resumes during the hiring process
  • Execute other operations tasks as assigned
